How to Organise the Perfect Golf Group Day
A field guide to running a group day, from venue and tee times to post-round drinks and the long-suffering art of the prize giving.
A perfect group day doesn’t happen by accident. It’s careful planning, attention to detail, and an understanding of what makes members feel looked after. Whether you’re organising your first group event or your fiftieth, this is the field guide.
Phase 1 — Planning (4–6 weeks out)
Choose your date and course
- Date. Avoid school holidays, big sporting fixtures, known member conflicts.
- Course difficulty. Match it to your membership’s skill range.
- Weather backup. Have a plan for grim conditions.
- Accessibility. Reasonable for every member to reach.
Negotiate with the course
Don’t just book tee times — build a relationship.
Plan your competition format
- Individual Stableford. Accessible to all skill levels.
- Team formats. Foster interaction across members.
- Side competitions. Longest drive, nearest the pin, best dressed.
- Handicap divisions. Everyone has a real chance to win something.
Phase 2 — Organising (2–3 weeks out)
Send detailed event information
Clear communication prevents most event-day problems.
Organise playing groups
Composition can make or break the day’s enjoyment.
- Mix skill levels. Avoid “elite” and “beginner” groups.
- Consider personalities. Balance chatty and quiet players.
- Pace of play. Similar-paced players together.
- Include newcomers. Pair new members with welcoming regulars.
Prepare prizes and materials
Prizes don’t need to be expensive, but they should mean something.
- Multiple categories. Overall winner, division winners, team events.
- Recognition prizes. Most improved, best newcomer, longest drive.

Phase 3 — Event day

- Group introductions. Help players meet their partners.
- Practice time. Range access for those who want it.
- Photos. Group shots, candid arrivals.
During the round
- Monitor pace. Identify slow groups early.
- Be available. Handle rules queries and resolve issues.
- Capture moments. Photos of groups at scenic holes.
- Watch the weather. Be ready to implement contingency plans.
Phase 4 — After the round

Social programme and meal

- Relaxed atmosphere. Allow time for conversation.
- Quality food. Catering that suits the group.
- Strategic seating. Mix groups to encourage new conversations.
